New structure needed to improve communication and improve security
DX, established in 1975, is the UK's leading independent provider of next-day, early morning business-to-business mail services. DX provides cost-effective, secure and rapid services for business users, handling over 1 million items every working day in the UK and Ireland. Specialists in delivering mail for organisations that require regular distribution of time-critical items, DX operates in the high street, retail parks and business-intense locations.
DX employs many different types of workers, from head office staff based at desks to field-based sales people – all working in over 30 locations around the world. Although there was an existing intranet, internal communication and reporting throughout the company was weak. Documents were stored on local drives and file-sharing was disorganised. Consequently, many employees relied on e-mail as their primary form of communication, a situation that posed security risks. DX asked the Creative SharePoint team to look at its existing structure and find a way to share information more effectively and securely.
Bespoke navigation tool meets the client’s specific needs
Before work could begin, the Creative SharePoint team drew up a detailed list of the client’s requirements and carefully analysed DX’s existing intranet. Detailed work completed at this stage allowed us to speed up the development and deployment processes later on. Because DX’s offices were so spread out, the best solution was a large server farm with shared services. After Creative SharePoint had provided a bespoke series of training and user guides, DX began using the new portal primarily as a reporting suite and document management system.
DX also wanted to use the portal to organise internal projects. After some initial tests, it was found that users wanted better usability and navigation when using SharePoint sites. In addition, users asked for an improved system for getting updates from multiple projects -- several managers found that they needed to visit more than 15 sites each day to get project updates from their teams.
Creative SharePoint’s Information Architect recommended a custom solution that would answer all of DX’s needs. Creative SharePoint’s team developed an easy-to-use navigation tool and a site map to help users find information quickly and easily.
Easy-to-find information, improved communication
DX’s portal now runs smoothly and is fully integrated with the business. Information is easy to find and access, and communication across the organisation has been greatly improved. Creative SharePoint provides 24-hour support and maintenance and continues to develop and deploy applications and modules for DX.
